What is variable data printing?
Variable data printing (VDP) is a digital printing method that changes text, images, and offers from one piece to the next, all within a single print run.
Instead of printing 10,000 identical postcards, VDP pulls from a database and customizes each one automatically. One recipient sees their name and a coupon for their nearest store. The next sees a different offer entirely.
Think of it as mail merge for your whole design, not just the name line.
How variable data printing works
Every VDP job has three parts:
- Your data. A clean spreadsheet or CRM export. Each row is a recipient, and each column is something you know about them: name, city, purchase history, donor level, preferred location.
- A flexible template. One design with “variable fields,” placeholders for anything that changes. That might be a single word or an entire image block.
- A digital press. No fixed plates means no fixed output. The press merges data and design and prints a different version every time.
There's no hand-sorting and no separate print jobs for each segment. One file goes in, and personalized mail comes out.
Why personalized mail gets read
People sort their mail over the recycling bin, and they decide in seconds what stays.
A generic piece looks like every other generic piece. A piece with the recipient's name, their neighborhood, or their giving history looks like it was meant for them.

Making a VDP campaign actually work
1. Start with clean data
Personalization only works if the data is right. A misspelled name or outdated address undercuts the entire piece.
2. Segment, don't over-engineer
You don't need 50,000 unique versions. Three or four well-chosen segments can do most of the work.
3. Design for the longest name
Templates need room to breathe. “Jo Li” and “Alexandria Montgomery-Hartwell” should both look intentional.
4. Proof across segments
Check sample pieces from every segment before the full run, not just the first one.
5. Give every piece a way to be tracked
Unique codes, PURLs, and QR codes turn a mailing into something you can measure and improve.
6. Personalize the outside too
The envelope is the first thing a recipient sees. Printed names and addresses, segment-specific teasers, and mail-ready formatting all help the piece get delivered and get opened.
